EXHIBITOR AT BIM WORLD COPENHAGEN 2026

Are you exhibiting at BIM World Copenhagen and do you have questions regarding your stand? In this manual, you will find the most important practical information before, during, and after the event.

Important updates and deadlines will be sent by email leading up to the event. If you have any questions, please contact us.

BIM World Copenhagen reserves the right to make changes to this manual.

Your stand includes the following, as specified in your stand agreement:

  • Black stand walls, 2.5 metres high, towards neighbouring stands
    (Island stands do not include walls.)
  • Spotlights mounted on the stand walls
    • 4 spotlights for stands of 6–8 m²
    • 6 spotlights for stands of 9–18 m²
  • Electrical power outlet
  • Wi-Fi
  • Registration system (Eventbuizz) for collecting visitor data

The walls are built in 1-metre-wide modules and assembled with black aluminium profiles. Open sides vary depending on stand location.

For stands without walls, please contact Bigini regarding lighting solutions.

Banners may be suspended up to 1 metre above the stand walls. The distance from the stand wall to the bottom of the banner may not exceed 1 metre.

Banners must be at least 50 cm narrower than the stand width on each side.

Maximum construction height:

  • 6 metres including banners
  • 4 metres for stands located underneath the balcony

It is not permitted to:

  • Hang banners from the balcony
  • Place logos or graphics facing neighbouring stands in a way that may confuse visitors
  • Damage stand walls

Only TESA tape or adhesive strips may be used on stand walls.

Heavy installations such as TV screens must be approved by Bigini:

All materials and equipment must remain within your own stand area during the event.

Covered stands and roof constructions must be approved in advance.

Requirements:

  • At least one side must remain open towards the hall
  • Covered constructions under 10 m² require a fire extinguisher
  • Covered constructions above 10 m² also require a fire extinguisher

Please contact us if you are planning a second level or loft construction, as this must be approved by K.B. Hallen.

Any approval costs must be covered by the exhibitor

K.B. Hallen cleans common areas only.

Exhibitors are responsible for cleaning their own stands.

Please use the designated waste containers during the event.

Exhibitors are responsible for insuring all stand materials, products, and equipment, as well as any damage caused by their stand or staff.

Stand dismantling may not begin before the exhibition officially closes at 16:30 on 17 September 2026.

A penalty fee of DKK 5,000 incl. VAT will be charged for early dismantling.

All exhibitors, stand materials, and carrier collections must be cleared from K.B. Hallen by 22:00 on 17 September 2026.

There is no access to K.B. Hallen on 18 September 2026.

Logistics Rules for Load-in and Load-out at KB Hallen

  • Empty packaging/materials cannot be stored in the venue during the event.
  • Trucks must be parked within the designated area.
  • Stopping and parking in the forecourt is only permitted between 07:00 and 21:00.
  • No loading or unloading is permitted in the forecourt (by the main entrance).
  • No loitering or waiting is permitted in the parking area.
  • Idling of vehicles in the parking area is prohibited.
  • Trailers/trucks may remain parked in the artist parking area overnight.
  • Load-in/load-out must always take place via the load-in gate, unless otherwise agreed with the venue technician (VT) on the day.
  • Load-in through the doors on the façade is not permitted.

DELIVERIES

Deliveries are only possible during the official build-up day.

The following information must appear on all shipping documents:

  • Company name
  • Stand number
  • A phone number for the exhibitor’s on-site contact person

BIM World Copenhagen and K.B. Hallen do not accept responsibility for deliveries and cannot pay carriers on behalf of exhibitors.

Storage of packaging or materials during the event is not possible.

Exhibitors may offer small tastings or samples at their stands.

Serving full meals or large beverages is not permitted out of consideration for the café operations at K.B. Hallen.

Exhibitors may access the venue from 07:30 on both event days.

The cloakroom in the basement is free of charge and supervised during opening hours.

Parking near K.B. Hallen is limited.

Vehicles may unload at the entrance, but parking is not permitted in this area.

All stand staff working during the exhibition must be registered. Registration confirmations include a link to the admission ticket. Please bring the admission ticket digitally or printed for scanning at the entrance. You can register your stand personnel here Registration

Staff working only during build-up or dismantling do not require registration.

The code is valid for stays between 15–19 September 2026 and can be used up to 30 days before arrival.

Accommodation must be booked directly with the hotel and is not included in the stand agreement.

Exhibitors receive access to a lead scanning app (Eventbuizz).

When a visitor badge is scanned and digitally approved, contact details are shared with the exhibitor. Leads can be exported as Excel files after the event closes.

Bigini is the official stand contractor for BIM World Copenhagen.

Furniture, carpets, screens, and additional stand equipment can be rented through Bigini’s webshop. More information will be shared closer to the event. Deadline for orders to Bigini is 7 August.

Consent may be withdrawn at any time.

  1. The participants are under obligation to use the hall, including their own stand, in accordance with the purpose of the event. K.B. Hallen is entitled to dismiss or expel a participant failing to comply with this requirement.
  2. Construction and fair materials must be kept inside the stand area during the event – for the purpose of the event as a whole, the flow of the event, cleaning, escape routes, etc.
  3. Signage and advertising, both inside the hall and externally may only take place with the approval of K.B. Hallen. This does not apply to on-stand advertising for the participant’s own company.
  4. If a participant wishes to change the hall’s fixed installations, K.B. Hallen’s Technical Services Department must be notified of this in good time. Installations may only be altered by a certified installer approved by K.B. Hallen. The installer is responsible for proper performance of the work and must report the finished work to the municipal services.
  5. The participants must not set up or use loudspeaker systems other than the existing system without the approval of the organiser and Forum. The individual participant is responsible for obtaining the necessary licence from Koda & Gramex to play copyrighted music.
  6. Showing of films (in special film room) must only take place with the approval of the organiser and K.B. Hallen. The film presenter must also acquire any permission from public authorities.
  7. The participants are obliged to comply with all authority requirements, including those of the fire service and the police.
  8. The participants are obliged to comply with the regulations of the Danish Working Environment Authority, details of which may be found in the Authority’s Executive Orders and Guidelines. See arbejdstilsynet.dk
  9. The number and width of emergency exits prescribed by the fire service in each case must be kept passable and hall doors, windows and lift entrances must be unobstructed.
  10. The hall floor must not be exposed to greater load than the structural maximum, and the use of heavy vehicles, including trucks with solid tyres, is prohibited. Planks must be laid for use by flatbed trucks used in transporting heavy equipment and the like. Any damage resulting from such transport must be paid for by the participant.
  11. The use of nails and screws, etc. in floors, walls, ceilings, columns, stairs, etc. is not permitted – this also includes all build-up stand material. Repair of any damage inflicted on the hall must be paid for by the participant.
  12. B. Hallen takes no responsibility for loss or damage, including fire and water damage, and damage to equipment, decorations, items on fair, etc. – irrespective of their ownership. Any injury or damage sustained by the participants or visitors is not the concern of K.B. Hallen.
  13. These provisions shall not apply if the damage or injury is attributable to deliberate or gross negligence on the part of K.B. Hallen’s management or staff.
  14. Complaints regarding supplies affected through K.B. Hallen shall be made in writing before the event closes.
